Company Policy

At Ember Psychotherapy, we are committed to protecting the privacy and confidentiality of our clients and website visitors. This policy outlines how we handle session-related inquiries and other relevant information. By using our website or services, you acknowledge and agree to the terms outlined below.

Session Policies: Refunds, Rescheduling, and Duration

  1. Rescheduling:

   – Clients must inform the therapist at least 24 hours before the scheduled session to reschedule.  

   – Requests made with less than 24 hours’ notice, or failure to attend the session (no-show), will result in forfeiture of the session fee.  

Exceptions: In case of an emergency, the full fee may not be charged, and the session can be rescheduled. However, it is important to respect each other’s time. When a slot is confirmed for you, it means someone else is on the waitlist. Informing us in advance allows for better scheduling and accessibility.

  1. Late Arrival:

   – Clients arriving more than 10 minutes late without prior notice will be deemed a no-show, and the session fee will be forfeited.  

  1. Session Extensions:

   – Sessions are strictly 50 minutes. If a session exceeds the allotted time by 10 minutes or more, the client will be charged for an additional session.  

   – Extended sessions must be paid in full, and the client may utilize the remaining time of the additional session, as applicable.  

  1. Inappropriate Behavior:

   – The therapist reserves the right to terminate any session immediately if the client behaves inappropriately. No refund or compensation will be provided in such cases.  

  1. Therapist Emergencies:

   – If a therapist needs to reschedule due to an emergency, the client will not be charged for the affected session.  

  1. Payment Policy:

   – All payments must be made in full before the commencement of the session.  

   – Each session is valid for a maximum of 50 minutes, regardless of whether the client utilizes the entire duration. Unused time cannot be carried forward.  

Session Policy: Counseling Packages

To make counseling services more affordable, Ember Psychotherapy offers discounted packages for advance bookings. These packages are governed by the following terms:  

  1. No-Show Policy:

   – Missed sessions without prior cancellation will be counted as utilized and will not be rescheduled.  

  1. Non-Refundable:

   – Payments for packages are non-refundable under any circumstances.  

  1. Non-Transferable:

   – Sessions within a package cannot be transferred to another individual.  

  1. Expiration:

   – Packages must be utilized within six months from the date of purchase. Extensions may be granted only at the discretion of Ember Psychotherapy and with therapist approval.  

  1. Counselor Changes:

   – The company reserves the right to assign a different counselor as needed. Clients will be informed of such changes on a best-effort basis.  

  1. Acknowledgment:

   – Clients must review and agree to the package policies before purchasing.  

Session Policy: Counselor Personal Information Policy

To maintain professionalism and privacy, clients are advised not to request personal information from counselors, including:  

– Age, marital, or relationship status.  

– Residential address.  

– Personal contact details (phone number, email, or social media).
